1. Booking Terms

By booking any trip, trek, or experience with BookNTrek, you agree to the following terms:

Age requirements: Participants must meet the minimum age stated on each trip page. Participants under 18 must be accompanied by a parent or legal guardian.
Medical fitness: You confirm that you are physically and mentally fit to participate. Please disclose any medical conditions at the time of booking.
ID proof: A valid government-issued photo ID (Aadhaar, PAN, Driving Licence or Passport) is mandatory for all participants and must be carried during the trip.
Booking confirmation: Your booking is confirmed only after payment of the advance amount and receipt of a confirmation message from our team (WhatsApp/email).
Advance payment: A 60% advance of the trip cost is required to confirm your seat. The balance must be paid before departure as communicated by our team.
Traveller agreement: All participants must sign the BookNTrek Traveller Agreement & Liability Disclaimer before the trip.

2. Cancellation Policy

Plans change — we get it. Our cancellation policy is designed to be fair and transparent:

International Trips

Time Before Departure	Refund
6 months (180+ days) before departure	60% of balance amount
Less than 6 months	No Refund

Note: Booking advance amount is non-refundable in all cases. Refund % applies to the balance amount paid above the advance. International trip refunds take 15–30 business days to process.

3. Refund Process

Approved refunds are processed within 5–7 business days from the date of cancellation approval.

Refunds are made via UPI or bank transfer, or to the original payment method used at the time of booking.
You will receive a confirmation on WhatsApp/email once the refund is initiated.
Bank processing times may add 2–3 additional business days depending on your bank.

4. Privacy Policy

BookNTrek respects your privacy. Here is how we handle your data:

Data we collect: Name, phone number, email, emergency contact, blood group and ID details — collected only to operate your booking safely.
WhatsApp communication: By booking, you consent to receive booking confirmations, payment reminders, trip briefings and feedback requests on WhatsApp.
No data selling: We never sell, rent or trade your personal data to third parties. Data is shared only with the vendors directly servicing your trip (e.g. transport operator) on a need-to-know basis.
Payment data: Card/UPI payments are processed by our payment partners (Razorpay). We do not store your card details.
Data removal: You may request deletion of your account data anytime by writing to us.

5. Liability Disclaimer

BookNTrek Traveller Agreement, Terms & Liability Disclaimer

By booking and participating in any trip, trek, or activity organized by BookNTrek, you acknowledge and accept that adventure travel involves inherent risks, including but not limited to accidents, injuries, illness, loss or damage to personal belongings, and unforeseen natural or external conditions. You confirm that you are physically and mentally fit to participate and that your involvement is completely voluntary. You understand and agree that BookNTrek acts only as an organizer and facilitator, arranging travel, accommodation, and activities through third-party providers, including buses, private vehicles, hotels, and activity vendors. Therefore, BookNTrek shall not be held responsible for any injury, accident, delay, loss, damage, or incident that may occur during travel (including bus or vehicle journeys), stay, or activities.

In case of any medical emergency, injury, or illness during the journey or on the trek, BookNTrek will try to provide basic assistance and coordination; however, all medical expenses, hospitalization, evacuation, or any related costs must be fully borne by you. You further agree that participation in activities such as trekking, water sports, or any adventure conducted by third-party vendors is entirely at your own risk. You are responsible for your personal safety, belongings, and behavior throughout the trip and must follow all instructions given by guides, coordinators, drivers, or local authorities.

BookNTrek is not liable for any service delays, disruptions, accidents, or issues caused by third-party providers (including transport vendors), although support will be provided wherever possible. In situations beyond control, such as adverse weather conditions, natural disruptions, traffic conditions, vehicle breakdowns, or government restrictions, the trip may be rescheduled, but refunds are not guaranteed.

Additionally, itineraries, schedules, and timings are flexible and may be modified without prior notice for safety or operational reasons. As a participant, you agree to maintain proper conduct throughout the journey. The use of alcohol, smoking, or any intoxicating substances is strictly prohibited, and any misconduct, misbehavior with fellow travellers, staff, drivers, or violation of rules may lead to immediate removal from the trip without any refund. You are expected to respect local culture, environment, and guidelines at all times.

By confirming your booking, you acknowledge that you have carefully read, understood, and agreed to all terms, conditions, and policies, and you accept full responsibility for your participation and any consequences during the trip.
